Listing Guidelines

The everyday rules for listing machines on Heavy Equipment AI. The Dealer Agreement is the license and the promises between us, and section 5 of it asks you to follow these guidelines. We update them from time to time, and the date above shows the latest change.
What You Can List
- Machines you have for sale: heavy equipment, trucks, trailers, and everything else in our category list. Pick the category that fits best.
- Attachments, parts, and anything else that isn't a machine can't be listed on their own.
- One listing per machine. Give each one its stock number, and a bulk import updates that listing instead of adding a copy.
What Every Listing Needs
- A category, the make, and whether it's new or used. Everything else is optional, but buyers skip listings without a year, hours, and a price.
- A year from 1960 to 2027, hours up to 80,000, and miles up to 2,000,000. A price from $100 to $5,000,000, or “Price upon request.”
- Leave the title blank and we build it from the year, make, and model.
Keep It Accurate
- Hours means the machine's own meter reading. For on-road trucks, give the miles instead.
- The price is your asking price.
- We tidy make and model spellings into one convention, so “CAT” and “Caterpillar” land together. We may refuse or flag a listing that fails our checks.
- When a machine sells or its details change, update the listing or mark it sold.
Photos
- Use your own photos, or photos you have the rights to.
- Up to 20 photos per listing, and up to 500 a day for your dealership.
- We resize every photo and strip its hidden data, like the GPS location, before it's shown.
- Revoke the Dealer Agreement and your photos stop showing on the next page load.
Bulk Import
- A CSV file of up to 500 rows and 2 MB, and up to 20 imports a day.
- You see a preview first, and nothing is written until you confirm it.
- A row with a stock number you already use updates that listing instead of adding a new one.
- Photo links in the file must be https links on your own website's domain or your site builder's image host. We fetch them with our own identified crawler.
Keeping Listings Fresh
- If a listing you added hasn't changed in 60days, we email you to check it's still for sale, with one-click answers.
- If we don't hear back by day 90, and at least 30 days after that email, the listing comes down.
- Listings we index from your website stay as fresh as your site.
Taking Listings Down
- Remove or Mark Sold on a listing you added works right away.
- If we index your website, you can hide any single listing from your Listings page, and it stays hidden through every re-crawl.
- To take everything down, send a removal request from Settings. Our team reviews every request and tells you what we decided.
One Way In
A dealership either adds listings itself or has us index its website, not both, so a machine never shows up twice. Email us if you'd like to switch.
